What to Know Before You Book
Travel fees and service area
Travel charges depend on the exact event location. Include the complete venue address in your inquiry so we can confirm the correct zone.
Included — $0
North Dallas, including Addison, Richardson, Carrollton, Farmers Branch, Far North Dallas, Plano and South Frisco; plus Irving/Las Colinas, Garland, The Colony, Lewisville and Coppell.
Zone 1 — $25
Grand Prairie, Mesquite, Arlington, Allen and North Frisco.
Zone 2 — $40
McKinney, Rockwall, Denton and Little Elm.
Zone 3 — $50
Fort Worth, Prosper and Aubrey.
Outdoor events and installation conditions
Some outdoor configurations may be approved in advance when the venue provides safe weather protection, stable flooring, adequate space and reliable power. Inflatable booths and backdrops cannot be installed outdoors for the safety of guests, staff and equipment.
PicExpress reserves the right not to install or to stop service when required conditions are not met or the equipment, guests or team could be at risk.
Reservation & Payments
Start by submitting the contact form and include your event date, requested service time and complete venue address. PicExpress will check availability and send the reservation form and payment instructions.
A $100 non-refundable reservation fee is due when completing the reservation form. Your date is not held until both the form and payment are received. The reservation fee is applied to your total and is not an additional charge. If the event is canceled, it is non-refundable. The remaining balance is due 48 hours before the event.
Setup & Installation
Setup time. PicExpress normally arrives approximately 45 minutes before the contracted service start time. Setup time is not deducted from your package. Breakdown begins when the contracted service ends.
Idle Hours. Idle Hours are required when the venue requests early setup, equipment must remain onsite before or after service, or breakdown must take place later.
Placement and venue needs. PicBox is preferably placed against a wall and Pic360 in a corner. Another location may be approved, but PicExpress may determine or adjust placement onsite for safe access, correct operation, and the safety of staff and guests. A standard 110V outlet and the required clear space must be available.
Upper-floor access. Equipment cannot be taken to upper floors without a suitable elevator. An inaccessible venue may prevent service. If no elevator is available and the equipment can be carried safely, a $60 fee applies per floor.
